The Clairemont Bobby Sox Executive Board Meeting was called to order by Tom Saliwanchik, President, at 7:05 PM, in Room 204 at the Clairemont Covenant Church. Those in attendance were Tom Sal, Harriet Preovolos, John Preovolos, Christy Moore, Anna Klempan, Jeff Price, Olivia Rodriguez, Karin Felkins, Darrell Rogers and Jimmy Donna.

MINUTES
The minutes from the April board meeting were read. Tom Sal made a motion to approve; C. Moore seconded. Motion carried.

TREASURER'S REPORT
Jimmy Donna reported a balance of $10,716.68 as of May 30, 2000.

PRESIDENT'S REPORT

All Star Selection Meeting - Managers and coaches will meet at Tom Sal's house on Wed., June 7. 3A will meet from 7-7:30, 2A will meet from 7:30-8:15, and 1A will meet from 8:15-9:00.
Tournament of Champions (LCS) - Nationals has been unresponsive; have not returned Tom's calls requesting information.
ASA - Tom spoke to ASA reps regarding switching from bobby Sox to ASA; for information only
Trophies - JC Keville will work on purchasing year end trophies.
Use of Field for UC Magic - Sundays in September - Rick Ghio requested use of 3A field #2; CBS's concern was lack of field maintenance after their games in past seasons. Tom will talk to Rick regarding issue.

COMMITTEE REPORTS

Field - John Preovolos distributed packets with options for netting, pitching machines and mounds, flooring, electrical, and other misc. equipment to complete the batting cages. Tom Sal made a motion to release funds NTE $2000 for equipment. Motion carried.
Uniforms -Anna Klempan will report on All Star uniforms next week.
Fundraising -
* Ma & Pa Tournament - very successful; Boehme's team won, as usual; made $1200; Jimmy Donna's food was the highlight!
* Sunset Bowl Fundraiser - only made $38! Next year will publicize better.
* Candy Sale - ordered too many World's Finest candy bars; not all pre-pays were accounted for when ordering and didn't account for siblings. Olivia Rodriquez will help Julie Worthen collect money and leftover candy
Snack Bar - Claire Gemar got Pepsi refrigerators for both snack bars; Jimmy Donna and Jeff Price will both look into getting used ice machines to replace the dinosaur we currently have.
Game Schedule/Umpires - Will schedule playoff games as required.
Board Nominations and League Voting Process - Lenny Gemar not present, no report given.

League Picnic - Saturday June 17 - helmet painting, music, Astrojump; Tom needs input for "people who've made a difference"

MINUTES
The minutes from the March board meeting were read. Tom Sal made a motion to approve; C. Moore seconded. Motion carried.

TREASURER'S REPORT
Debbie Donna, Treasurer, reported a beginning balance of $14,750.04. Total income was $4,480.50, and total expenses were $11,533.73, leaving a balance as of April 25 of $7,696.81.

PRESIDENT'S REPORT

Batting cage - John Preovolos will track progress and stay in contact with Park and Recs and contractor until project complete. Permanent pitching machines will be purchased next season when Park and Recs will split cost / match funds. In the meantime, the pitching machines will be moved into the cages as needed.
1A Field - the fencing was taken down unexpectedly; grass seems to be holding up well under additional foot traffic
All Star Nominations - A meeting will be held at Tom Sal's house on May 9 to nominate All Stars; vote will be held on June 6. ALL nominations and voting information MUST be kept secret until announced at Closing Ceremonies.
Board Nominations and Voting Process - Lenny Gemar volunteered to lead the nominating committee. Ballots will be handed out to parents at the field after Memorial Day, and should be collected within 7 to 10 days. The nominating committee will be responsible for counting the ballots. The board members will be announced at Closing Ceremonies.
Tournament of Champions - Christy Moore made a motion for Clairemont Bobby Sox to host the Tournament of Champions, a tournament for the first place teams from all of the neighboring leagues. The league would cover the costs. H. Preovolos seconded. Motion carried.

VICE PRESIDENT'S REPORT

Pitching Clinic Update - last clinic scheduled for May 7; Jeff will distribute flier
Spring Travel Sox Teams -games have been scheduled and will be added to the web site.

PLAYER AGENT'S REPORT

Memorial Day Tournament - 3A Staff - Christina & Mike Boehme, Karin Felkins, Jeff Price; 2A Staff - Harriet & John Preovolos, Christy & Jason Moore; 1A Staff - Jane Gentry, Greg Rodriques
League Padres Game - Christy Moore will purchase 300 tickets for June 10; Darrell Rogers will need to reschedule the 3 & 5:00 games to another day. Last day to purchase tickets will be May 31.

COMMITTEE REPORTS

Field - Madison Tournament held at field; fields and equipment rooms were left in poor shape. Tom Sal made a motion to release funds NTE $400 for new chalk machines and NTE $150 for equipment for the warm up area that will be behind Field 3. J. Price seconded. Motion carried. Volunteers are needed to help clear the area. Managers and coaches need to be reminded that it is their responsibility to water and line the fields, and clean under and around the bleachers and dugouts after games.
Uniforms - Christy Moore made a motion that the Memorial Day Tournament uniforms will consist of white, sleeveless shirts with a red, white and blue logo, red and blue bumblebee socks and red visors. H. Preovolos seconded. Motion carried. Anna Klempan will start looking into All Star uniforms.
Fundraising - the Ma & Pa Tournament is almost full (10 teams); Bowling fund raiser scheduled for 5/21/00, Noon to 3.
Snack Bar -Madison left "the cupboards bare"; Claire will restock. Jimmy Donna will be in charge of Ma/Pa menu.
Division Reps - Minis - Shannon reported that a few of the managers would like to keep the pitching the same as the first half of the season. Board recommended that girls play by rules agreed upon earlier in season: for all innings, the girls pitch 3 balls, then coach comes in and pitches to strikeout or hit ball, 4 run rule per inning, count outs.
Candy Sale - Julie Worthen ordered World's Finest candy bars for fundraiser; will be delivered to teams on 4/29/00.

The Clairemont Bobby Sox Executive Board Meeting was called to order by Tom Saliwanchik, President, at 7:05 PM, in Room 204 at the Clairemont Covenant Church. Lenny Gemar provided input via telephone.

MINUTES - The minutes from the Feb. board meeting were read. Tom Sal made a motion to approve; C. Moore seconded. Motion carried.

TREASURER'S REPORT - A report was given, with a beginning balance of $25,769.25, and an ending balance of $14,750.04. A discussion was held regarding a new treasurer. Tom Sal made a motion that Debbie Donna be elected treasurer, D. Rogers seconded. Motion carried.

PRESIDENT'S REPORT -

Opening Day - was very successful. Tom read a Thank You note from Chris Christian, which will be posted on the website.

Batting cage - the final bid was submitted to Cathy (Parks and Rec) and is now in "the black hole"!. Tom will track progress.

1A Field -Park & Rec has reported that we must keep off of the grass so it will grow or the field will be shut down for 30-60 days.

All Star Selection - Pre-selection - John & Harriet Preovolos will create a form identifying selection criteria; managers will need to fill in the form with "girls to watch' and why, and copies will be distributed at the pre-selection meeting to be held the first or second week of May.

VICE PRESIDENT'S REPORT -

Pitching Clinic Update - April 2 - 2 and 3A, April 9 - 1A and minis, 2 to 4pm.

Spring Travel Sox Teams - No league monies will be used to support these teams. Jeff Price made a motion to name Christy Moore manager of 2A team (Jason Moore, John Preovolos coaches), and Christina Boehme/Karin Felkins co-managers of the 3A team (Mike Boehme, Jeff Price coaches). Darrell Rogers seconded. Motion carried.

PLAYER AGENT'S REPORT - One 3A player dropped out and has requested a refund. Due to the amount of time that has passed since the beginning of the season, the player will receive a $55 refund ($70 minus insurance, hat, etc.). Another girl wanted to register, but all openings have been filled. Surfer Chickx have - unfortunately - lost Chelsea Smiley.

COMMITTEE REPORTS

Field -Banner hanging process - on Saturdays, the first team that plays needs to hang, last team puts away. JP will distribute flyers to managers. Fence by mini field will be closed to encourage people to keep off grass. Area behind Field 3 will be cleared to allow pitchers a place to warm up. All volunteers who would like to help the clear the area are welcome.

Game Schedule / Umpire - Darrell Rogers has distributed handouts clarifying rules, such as the 10 run rule, open innings, time limits, etc., as well as rules for 1A only (pitching, base stealing, etc.) All managers and umpires will receive copies and notice can be found on website. Managers are encouraged to have this notice with them during games in case questions arise.

Snack Bar - may be opened during Spring Ball, but league can not donate food; any food sold must be purchased by travel sox teams. Four high school "ex-Bobbysoxers" will be hired to work each Saturday to run the barbecue and help out with snack bar as needed.

Candy Sale - Julie Worthen will order World's Finest candy bars for fundraiser. Sale will start after Spring break.

Webmaster - Meeting minutes on website; thank entrants of Logo Contest and congratulate Lindsay Woods for winning; Sunset Bowl banner must be put up every Saturday.

MISC. - A question has come up a few times, regarding girls being allowed to move up or not move up between divisions. On page 26 of the Bobby Sox rule book, it states that Bobby Sox 10 includes 8, 9 and 10 year olds, and that girls can play at any level within that division, i.e., an 8 year old can play on a 7/8 year old team OR a 10 and under team. This is not the case for 12 and under and 15 and under divisions per decisions made by the League Board prior to the season starting.

The Clairemont Bobby Sox Executive Board Meeting was called to order by Tom Saliwanchik, President, at 7:05 PM, in Room 204 at the Clairemont Covenant Church. Those in attendance were Tom Sal, Harriet Preovolos, John Preovolos, Christy Moore, Claire Gemar, Anna Klempan, Jimmy Klempan, Art Harris, Jeff Price, Karin Felkins, Shannon Woods, Olivia Rodriguez and Darrell Rogers.

MINUTES - The minutes from the January 25, 2000 board meeting were read. Tom Sal made a motion to approve with corrections. Christy Moore seconded. Motion carried.

TREASURER'S REPORT - Art Harris reported deposits of $475, and disbursements of $1704.65, leaving a balance on hand of $24,409.36. He has received refund requests and will write checks and mail to recipients. Art submitted, on behalf of Julie and himself, a letter of resignation, stating that they would no longer be able to perform the duties of treasurer, effective in 3 weeks. Harriet Preovolos, Secretary, will be responsible for the checkbook until a new treasurer is elected.

PRESIDENT'S REPORT -

Field update / Batting cage - The final bid for the batting cage was submitted to Cathy (Parks and Rec.). Parks and Rec. will match funds; Tom Sal will fill out forms and submit. Slab is 25'x50'; contractor has asked for 15' per lane, but only 12 ½' available. May be able to solve by having movable plate, so easily accessed by both left and right handers.

1A Field and Pitching - Managers concerned with how small the new field is. A decision was made to leave the 10 and under games on the new field for now, and will reevaluate moving games to Field #2 for the second half of the season. Tom Sal made a motion that for the first half of the season, 7 & 8 year olds will pitch four pitches, then will use the "T"; will bat through the line up; coaches may pitch throughout season. John Preovolos seconded. Motion carried.

Fund raisers

League Bowling at Sunset Bowl - date changed to May 21.
Jeff Price will call Nationals to make arrangements for World's Finest Chocolate sales.
Koala Arts (Jim and Anna Klempan) will print tee and sweat shirts with the CBS logo to sell Opening Day and throughout the season.
Logo contest - Entries were reviewed and a selection was made.

VICE PRESIDENT'S REPORT - Clinic Update - Clinic went OK, but was not very well attended.

PLAYER AGENT'S REPORT - Registration - Approximately 325 girls have signed up, but more are needed to balance out teams. Currently there are four 1A teams with only 9 players, and five 2A teams with only 10 players. The four 3A teams are full (12 on each team); applicants will be put on a waiting list and no more players will be added unless there are openings on teams. Mini teams are fairly full.

COMMITTEE REPORTS

Field - Tom Sal acknowledged John Preovolos for doing such a great job preparing the fields. Darrell Rogers suggested getting more dirt to fill up / even out a few of the spots on fields #2 and #3. Jeff Price suggested having designated areas for pitchers to warm up.

Equipment - Jim Klempan is still working with Charlie Rose on getting equipment. Estimated cost of balls about $800. He is taking equipment inventory and should have formal quote in 2-3 weeks for additional needs. Darrell Rogers made a motion to pay invoices for Charlie Rose. Tom Sal seconded. Motion carried.

Uniforms -Uniforms should be ready to distribute about one week prior to games starting. Tom Sal made a motion to accept proposal from Koala Arts to waive set up and printing fees in exchange for printing logo on shirts. Christy Moore seconded. Motion carried. Tom Sal made a motion to allow 3A teams the option of wearing a hat OR visor, as long as entire team wears the same thing. H. Preovolos seconded. Motion carried.

Game Schedule / Umpire - Darrell Rogers has distributed preliminary schedules. Changes will be accepted until Friday, March 3. A score keepers clinic will be held on March 5 at 11:30 am. Game length will be one hour, 45 minutes for 2A and 3A, and an hour and a half for 1A. Minis will remain at one hour. Umpires will be paid as follows: American Girl - 2 & 3A - $25 per game, Bobby Sox 10 and under - $22 per game. No umpires are required for mini games.

Snack Bar - Claire Gemar and MaryAnn Saliwanchik have done a terrific job of cleaning up the 2 snack bars. Claire has asked Home Depot to donate a new barbecue, as the old one has finally 'died'. Jeff Price will look into a new ice machine, or repairing the one we have, if possible. Claire checked into having food and supplies delivered to the field. Smart & Final does not deliver, but Costco will. No service fee will be charged if order is $250 or more. Claire made a motion to purchase a barbecue, 2 coffee urns, and a carafe. Tom Sal seconded. Motion carried

Pictures - Cindy Drake will distribute picture schedules and packets to managers. Photos will be taken Opening Day

Opening Day - Ceremonies on field 12:00; no cheers this year due to number of teams to announce; Opening remarks, Prayer, National Anthem, first pitch, Thank you's, Field Dedication and presentation of plaque to Chris Christian, All Star introductions, Winter Ball team introductions, Four (Five) Ship award, Team introductions, Parade, freebies and candy thrown out, free ice cream for girls.

MINUTES
The minutes from the December 14, 1999 board meeting were read. Tom Sal made a motion to approve; Christy Moore seconded. Motion carried.

TREASURER'S REPORT
Art Harris presented a budget report for November 14 through December 31, and a proposed budget for 2000. Tom Sal made a motion to approve; Christy Moore seconded. Motion carried. Art has questions regarding some of the guidelines he is to follow; will call National Headquarters for clarification.

PRESIDENT'S REPORT

Field update - grass will not be ready by Opening Day; should be signed off by April.
Batting cage - have received only one bid; two more are due
Inter-League play - 3A division will play a few games with the University City league; most will be played at Clairemont, but some will be played at the UC field.
1A Umpires - may hire umpires for 1A games; no final decision made at this point.

VICE PRESIDENT'S REPORT - No report given.

PLAYER AGENT'S REPORT

Registration - A list of possible managers and coaches was distributed; 3A division will have 4 teams with an option for a 5th, 2A will have 6 teams with an option for a seventh, and 1A will have 5 teams with an option for a sixth. Based on the number of girls registered, the decision was made to split mini-sox and have a 7/8 division (mini majors).
Selections - Managers and coaches were selected; Tom Sal made a motion to make Darrell Rogers Umpire-in-Chief, Julie Harris seconded. Motion carried.
Player placements - After a long, and rather agonizing, discussion regarding placements, i.e., whether to enforce the previous motion to have all girls play in their appropriate age brackets, the board once again decided to not allow players to move up. Christy Moore made a motion that all girls play in their age divisions, Art Harris seconded. Motion carried.
Late sign-ups - Christy will continue to accept late sign-ups as long as there are spaces available.

NEW BUSINESS

Team Pictures - GCS will be used for pictures this year.
Field - John Preovolos presented the proposed budget for fieldwork, which totaled approximately $800. This would include setting up the new field, as well as repairing and upgrading the existing fields. Tom Sal reported that the Park and Recs contractor would pay for and install bases on the new field. Tom Sal made a motion that the league pay for all other proposed 1A field set-up, and repairs for all fields, Art Harris seconded. Motion carried.
Equipment - No report given. Jim Klempan will meet with D. Rogers for equipment information.
Uniforms - Anna Klempan suggested sleeveless tee shirts and "bumble bee" socks for BS10 and AG12 & 15. Minis will have standard tee shirts and softball socks. All levels will get "ponytail" twill caps. The quote submitted by the Klempans was hundreds of dollars less than previous years, as the league will get the uniforms at cost, thanks to Jim Klempan and Koala Arts Inc. Tom Sal made a motion to accept the quote for the suggested uniforms, plus blue shorts for the mini teams, Christy Moore seconded. Motion carried. Anna suggested collared shirts for the executive board members, managers, coaches and chaperones. Tom Sal made a motion that the league pay for the boards, managers, etc., uniforms, Julie Harris seconded. Motion carried
Hat Night - Holmes Elementary, February 10, 7:00, 3A & 2A; February 17, 7:00, 1A & Mini-Sox. Raffle prizes will be given out, Player Clinics will be announced, Manager's binders distributed and Darrell Rogers will distribute practice schedules.
Manager Orientation - Equipment handed out, binders reviewed, snack bar guidelines.

CALENDAR UPDATE
The Team draw will be held on Feb. 1 at Tom's house, BS10 6:30, AG12 7:00, AG15 7:30. Field Day will be Jan. 29 from AM - Noon.

Next board meeting will be Tuesday, February 29 at 7:00. All committee members are to attend.
